ISO Documentation Requirements: What Every Management System Standard Needs in 2026
ISO documentation requirements decide what your auditor will ask to see, so it pays to know them before you write a single page. This guide explains what the main standards require, what they do not, and how to prepare the right documents.
ISO management system standards require "documented information": the documents the standard names, such as scope, policy and objectives, plus any records you need as evidence and anything else your organization decides is necessary. They do not demand a fixed number of procedures.
What are ISO documentation requirements?
Most ISO management system standards share one structure, so clause 7.5 on documented information works the same way in each. It says you must keep the documented information the standard requires, plus what your organization determines is necessary for the system to be effective. You maintain some as documents and retain some as records.
ISO documentation requirements by standard
| Standard | Typical documents and records | Documentation kit |
|---|---|---|
| ISO 9001 (quality) | Scope, policy, objectives, calibration, supplier evaluation | ISO 9001 kit |
| ISO 14001 (environment) | Scope, policy, objectives, operational controls, compliance evaluation | ISO 14001 toolkit |
| ISO 45001 (health and safety) | Scope, policy, roles, hazard and risk results, incident records | ISO 45001 kit |
| ISO 27001 (information security) | Scope, policy, risk process, Statement of Applicability | ISO 27001 toolkit |
| ISO 22301 (continuity) | Common core, plus business impact analysis and continuity plans | ISO 22301 kit |
| ISO 20000-1 (IT services) | Common core, plus documented IT service processes | ISO 20000 kit |
| ISO 50001 (energy) | Common core, plus energy review, baselines and performance indicators | ISO 50001 kit |
The core ISO documentation requirements every system shares
Documents to maintain
- Scope of the management system
- Policy approved by top management
- Objectives and plans to reach them
- Roles, responsibilities and authorities
- Risk and opportunity processes
Records to retain
- Competence and training
- Monitoring and measurement results
- Internal audit programme and results
- Management review results
- Nonconformities and corrective actions
What ISO documentation requirements do not include
Current editions of these standards do not require a quality manual or any fixed list of procedures. The amount depends on your size, process complexity and people's competence. The bigger risk is copying documents nobody follows, because auditors check that documents match what really happens.
How to meet ISO documentation requirements in four steps
List what the standard names
Start with the required documents and records for your standard. See our ISO 9001 checklist for a clause-by-clause list.
Add what your processes need
Write procedures only where a process is complex, risky or easy to get wrong.
Start from tested templates
Use professional ISO 9001 documentation templates or a full kit, then adapt them to how you work.
Control and review
Version, approve and store everything, and check it during your internal audit.

ISO documentation requirements: frequently asked questions
What are the ISO documentation requirements?
ISO management system standards require documented information: the documents the standard names (such as scope, policy and objectives), the records needed as evidence, and anything else your organization decides is necessary.
Is a quality manual required by ISO?
No. Current editions of ISO 9001 and the other management system standards do not require a manual, although many organizations keep one because it gives auditors a clear overview.
How many procedures does ISO require?
There is no fixed number. You document procedures where they are needed for the system to work consistently, and where the standard names a documented process.
What happens if my documents are incomplete?
The auditor records a nonconformity against the ISO documentation requirements. You must correct it and show evidence before certification.
